Exhibit at the Fair

Interested in participating in the conference in deeper way? Engage with over 30,000 community members and 300 attendees by exhibiting at the Desert Nights, Rising Stars Literary Fair, Saturday, February 22, 2020 from 10:00 a.m. to 5:00 p.m. on the front lawn of Old Main (400 E Tyler Mall, Tempe, AZ 85281).

In addition to space, exhibitors receive discounted registrations and have the opportunity to present talks, readings, panels, and other literary performances and activities as part of the larger festivities.

To become an exhibitor, simply review the information below and complete an application. Individual authors, small presses and publishers, educational institutions, non-profit organizations, and local businesses are all encouraged to apply. Fee waivers may be available, too.

Exhibitor Guidelines and Policies

Preferred Exhibitors

We prefer applications from individual authors, literary organizations—presses, publishing houses, journals, non-profit organizations, educational institutions—and, more generally speaking, arts and culture, local businesses, or other organizations fulfilling or complementing the conference's mission, vision, and goals.

Please note: completing an exhibitor application does not guarantee a spot in the exhibitor fair. 

Exhibitor Space and Equipment

All exhibitor spaces measure 10' x 10' and include a 6' table with two chairs. Exhibitors are also welcome to bring additional tables, chairs, displays, or any other items or equipment for their space. Exhibitors who purchase a full space may also share with up to two other organizations at their discretion. 

Exhibitors who purchase a half-space will be entitled to half the area and will be paired with another exhibitor to fill the space. 

Exhibitor Fair Hours and Location

The exhibitor fair takes place outdoors in the center of the conference—on the East Lawn, around the fountain, and surrounding areas—and runs from 10:00 a.m. to 5:00 p.m on Saturday, February 22, 2020. Although volunteers will be on-hand to provide general assistance, volunteers cannot provide vendor relief. Please plan your schedule and staff accordingly. 

Setting Up and Loading In

Exhibitors may load in equipment and supplies at the following times:

  • 6:00 p.m. to 8:00 p.m. on Friday, February 21
  • 7:00 a.m. to 9:00 a.m. on Saturday, February 22

While exhibitors cannot drive directly on to the conference grounds, a loading zone will be located closely nearby behind University Club and the Piper Writers House.

Breaking Down and Loading Out

Exhibitors may begin breaking down their spaces and/or loading out at 5:00 p.m.

Exhibitor Fair Activities

All exhibitors are welcome to sell products, distribute information, or otherwise conduct activities within their space to promote their organization as they see fit. It is the responsibility of any exhibitors who are conducting sales to have the appropriate tax forms and licenses.

Exhibitor Fair Programs

Exhibitors will also have opportunities to contribute a presentation, reading, workshop, or other light program to the exhibitor fair as part of the larger festivities. More information about programming opportunities will be provided at the appropriate time. 

Exhibitor Benefits

Beyond the space and public exposure, exhibitors receive the following additional benefits as part of their participation.

Discounted Conference Registrations

Exhibitors who purchase a full or half space are entitled to receive 50% off up to two conference registrations for $150 each. 

Listings and Advertising Discounts

All exhibitors will have their image/logo, a brief description, and a link to their website posted on the Piper Center's website under the exhibitor page. Exhibitors will also be listed in the Desert Nights, Rising Stars Program.

Additionally, exhibitors may purchase full or half page advertisements in the conference program at the discounted rate of $25 off. Exhibitors may also purchase a 'featured exhibitor' option in the conference program for $50—including their logo and a 120 word description—equivalent in space to a third page ad. 

Larger Promotions

The Desert Nights, Rising Stars Writers Conference is promoted nationally across numerous channels, including newsletters, outreach campaigns, and paid advertising in printed and online formats, and attracts over 300 authors, poets, and other creative writing professionals every year.

The literary fair is also featured as part of ASU Open Door, an annual outreach event that attracts over 30,000 community members to Arizona State University each year. The exhibitor fair itself will be promoted extensively to the general public as an opportunity to participate and engage with the literary community outside of the conference.

Application Process

Organizations or individuals who are interested in exhibiting will complete a brief application detailing their contact information and exhibitor activities. Then, once the application is reviewed and approved, a welcome letter and registration link will be sent via email.

Please note: any cancelled exhibitor registrations are subject to a $25 fee. 

Important Dates

Exhibitor applications for this year's Desert Nights, Rising Stars Literary Fair are now open! Applications are selected on a rolling basis and close November 1, 2019. As space is limited, we recommend applying early. All applicants will be notified no later than December 1.

To apply to exhibit at the 2020 Desert Nights, Rising Stars Writers Conference and Literary Fair, simply complete the following form. Applications will be reviewed and responded to on a rolling basis, with final deadline of November 1. All applicants notified by December 1, 2019.
